Bounces understood
A bounced e-mail marks the address as dead, greys it out on the card and moves the lead to Lost. A notice that delivery is only delayed is filed away and changes nothing.

Pick a saved letter in the reply box and it's written, greeting the person by name with its files attached. Nothing goes out until you press Send.

No letter to a dead domain
Before an outreach e-mail goes, the desk asks whether the address's domain takes mail at all. A domain that does not exist gets no letter: the address is marked and the lead goes to Lost, as if it had bounced. A letter promised on a call is held instead, for somebody to correct an address that may have been misheard.

A departure understood
An automatic reply that says the person has retired or left is read, not filed away: the contact is marked as gone, the lead goes to Lost, the number or the colleague the notice names goes onto the company card - a named replacement becomes a lead at the start of the board - and the owner gets a task with the notice's words. One saying they are away until a date makes the next call and the feedback letters wait for the morning after. A holiday notice with no date, and a receipt, change nothing, as before.
